Registration paperwork and fees are due seven days prior to your child(ren)’s start date.

Payment is due two weeks before starting, this is a deposit that goes towards last week of care. Then payments come out the Friday before week of care needed.

AUTOMATIC PAYMENTS

Effective June 1st, 2020, all future enrollments must make tuition payments electronically with a checking or savings account. Once the enrollment process has begun, our bookkeeper will be in touch in regards to setting up the ACH payments. Special arrangements must be discussed with the Director if unable to make electronic payments. Payments cannot be made with a credit or debit card at this time and cash is strongly discouraged.

Payments are withdrawn on Friday for the upcoming week of care. If a holiday falls on a Friday, payments will most likely be drawn from your account the next business day.

Monthly rates can be set up upon request for full time families and are due by the last business day of the prior month.

$25 per day late fee will be charged; payments not made by that Wednesday at noon will result in child(ren) being subject to dismissal from Yahara River Learning Center.

Enrollment & Termination

 

VACATION

Annually, after one year of enrollment at Yahara River Learning Center, each full time family is granted one free vacation week.

• Parents must notify Director and/or Assistant Director via e-mail four weeks before the planned week

• All 5 days must be used consecutively; not allowed to be broken up

• School Age children receive two weeks in the summer tuition free as well as Spring Break if they choose not to attend.*

*Tuition free week applied the week after the requested week

MULTIPLE CHILD DISCOUNT

Families with two or more children enrolled full time at Yahara River Learning Center are eligible for a 10% discount that is applied to the oldest child’s weekly tuition fee.

LATE PICK UP FEE

Yahara River Learning Center closes at 6:oopm Monday through Friday. Parents will be charged a late fee which will be recorded by the teacher at time of pick up. Parents will receive the added fee on their tuition statement. Repeated late pick up can result in dismissal from Yahara River Learning Center.

RETURNED CHECKS/INSUFFICIENT FUNDS

All returned checks or ACH payments reject due to insufficient funds will be charged $50 penalty. A $25 per day late fee is charged for tuition that is not paid by the due date. Repeated incidents of returned checks or insufficient funds notices could result in termination of child care services. If a family is having trouble making tuition payments, please talk to the Director.

ENROLLMENT FORMS

Yahara River Learning Center follows the requirements for operating licensed child cares in the state of Wisconsin. The following forms are required one week before your child’s start date:

• Health History and Emergency Care Plan

• Child Care Enrollment Form

• Immunization History

• Child Health Report

• Under 2 Intake

• Alternate Arrival Agreement (children in after school program)

These forms will be kept in your child’s records and are kept in locked files. This information is considered privileged and confidential. No one who is not directly related to the care of your child, center management, or Wisconsin licensing agency will have access to your child’s records without your written consent. As the parent/guardian, you may access your child’s record within two days of a request to view the record.

Upon withdrawal from Yahara River Learning Center, files will be retained for seven years. A small fee may be charged, if necessary, to retrieve your child’s file from storage. As the parent/guardian, you have the right to add information, comments, data and other relevant material to your child’s record. You also have the right to request, in writing, deletion of or amendment to any information contained in the record. When your child leaves the center, center management will transfer a copy of your child’s record to you or any other designated person, upon receipt of a written request from you.

WITHDRAWAL

Withdrawal from Yahara River Learning Center requires a four week notice in writing or a child reaching age 12. Parents who do not submit their notice within four weeks will be responsible for four weeks of payments, even if your child is not attending.

Your fourth week is taken care of with your enrollment fee that is paid prior to starting at the program.

TERMINATION

Circumstances & Procedures for Termination of Enrollment:

Child Related – Yahara River Learning Center will regularly advise parents on their child’s progress through schedule goal setting conferences and classroom communications. When children struggle adjusting to the center’s daily schedule and classroom rules, parents will be contacted for a face to face conference. At this meeting, the teacher will state concerns and discuss observations made of the child’s behavior and an action plan will be developed. If after two weeks, the behaviors have not improved, another conference will be scheduled to either revise the action plan or terminate placement and refer the child to other services.

Parent Related – If the problem leading up to termination is due to non-compliance to center policies by the parents, the teacher will contact the parents for a face-to-face conference. At this meeting, the teacher will state concerns and review and clarify policies with the parents. Input from parents will be encouraged so that common understanding can be reached. If after two weeks, the same problems are still present, parents will be advised in writing that their child’s enrollment will be terminated. Parents will be given a minimum two weeks’ notice regarding the termination of the child’s enrollment. The parent will be responsible for child care fees for the final two weeks; even if the child does not attend.

Should the center decide to terminate a child’s enrollment, the parents will be notified in a face to face meeting. In this meeting, parents will be told verbally as well as in writing of their child’s termination. Parents will be given a minimum 2 weeks’ notice regarding termination of their child’s enrollment. The parent will be responsible for the child care fees for the final two weeks; even if the child does not attend.

INVOLUNTARY TERMINATION

Involuntary termination of a child’s attendance at Yahara River Learning Center could result from one of the following reasons:

• Failure to pay fees on time (grounds for immediate termination, without advance notice)

• Lack of parental cooperation

• Inability of child care program to meet the needs of the child. Staff will consult with the parent concerning how any challenges might be solved before ending the care arrangement. These steps will be documented in the child’s file. The parent will be referred to other community resources

• Repeated failure to pick up child at the scheduled time/before center closing

• Failure to complete and return required forms & set up ACH tuition payments

BEHAVIOR RELATED TERMINATION

Acting out, inability to follow classroom rules, inability to follow teachers’ directions are all examples of reasons why a child could be terminated due to behavior. We will document instances and communicate these with families as they happen. Problem solving steps will also be documented.

STEPS TAKEN PRIOR TO CHILD CARE TERMINATION

All efforts will be made to work out an action plan for behavior management between staff and the parents to see if problematic behaviors can be managed and/or corrected. The teacher will ask for a meeting to discuss the behaviors in detail. Input from parent/guardian on behavior management is vital. If after two weeks the behaviors have not improved, another meeting will be scheduled to either revise the action plan or to terminate placement and refer the child to other services. All meetings, behavior plans and outcomes will be documented and placed in the child’s file.

OUTSIDE AGENCY INVOLVEMENT

Prior to any child being terminated, efforts may be made to seek additional services from other care providers to address the behaviors and/or problems. Examples: Children may be referred to a physician for vision or hearing screen, Birth to Three, speech and language screenings.

Should the child require additional services that are not available directly through our center, an outside agency may be contacted to meet those needs. Staff will consult parents before contacting any outside agency.

DISCRIMINATION ISSUES

If you feel your child has been discharged due to discrimination, please bring these concerns to the Director for a thorough review. It is our policy to never refuse to enroll a child on the basis of race, sex, color, creed, political persuasion, national origin, handicap, ancestry or sexual orientation.
